Missed-call text-back for tree services: keeping storm and estimate calls while you climb

Updated October 10, 2026

Tree crews work up in the canopy with a saw, or next to a chipper with ear protection on. Nobody answers the phone, and after a storm it rings all day. A homeowner with a limb on the roof won't wait long. A missed-call text-back sends every caller you miss a text from your own number within seconds, asks for the address and a photo, and lets you sort the urgent jobs once you're back on the ground.

The calls tree services get

  • Storm damage: trees or limbs on a house, a car, a fence or across a driveway.
  • Hazard trees: dead, leaning or cracked trees near a house.
  • Removal and trimming estimates, often priced with several companies.
  • Stump grinding and lot clearing.

When tree crews miss calls

  • Climbing and cutting, where answering isn't possible or safe.
  • Next to chippers and stump grinders, where nothing can be heard.
  • The owner doing estimates while the crew works.
  • Storms, when every crew is already busy.

Example texts for tree services

Normal day: "Hi, this is Tall Timber Tree Service. We're up a tree and missed your call. Reply with your address and a photo of the tree and we'll set up an estimate. If a tree is on a power line, stay away and call your power company or 911. Reply STOP to opt out."

After a storm: "Tall Timber Tree Service here. We're getting a lot of calls after the storm and we will get back to you. Tree on your house or blocking your driveway? Reply DOWN with your address and a photo and we'll call those first. Everyone else, book an estimate: [link]"

Night: "Tall Timber Tree Service, closed for the night. Reply with your address and a photo of the tree, or book an estimate: [link]. If a tree is on a power line, stay away and call your power company or 911."

Storm nights and emergencies

If you do emergency storm work, the night text should flag trees on houses and blocked driveways for a callback; if you don't, say when you'll start returning calls. Ask for photos "from a safe distance": nobody should walk under a hanging limb or near a downed line for a text. Lines on the ground are the utility's job first.

What to ask when they reply

  • A photo of the whole tree, from a distance, showing what's near it: the house, wires, a fence.
  • Roughly how tall, and how wide the trunk is.
  • Access for equipment: gate width, a back yard, a slope.
  • What to do with the wood and the stump.
  • Whether they've contacted their insurer, for storm damage to the house.

Tree care business software

Tree companies often quote and schedule crews in tree-care software such as ArboStar, SingleOps or Arborgold. Ringback doesn't connect to any of these; it sends the first text, collects the photos and books estimate visits.

Where Ringback fits

Ringback is missed-call text-back with a booking page, not an answering service or job software. It runs on the Android phone your business line rings on (or, with an iPhone, on a Mac with the Mac helper, beta), texts each missed caller from your own number (separate business-hours and after-hours messages, STOP/START handled) and puts replies in one inbox. $17/month or $170/year, no setup fee; the 7-day free trial takes a card through PayPal and is charged when it ends unless you cancel.

Related trades: lawn care and landscapers and roofers. Overview: missed-call text-back for contractors.

Questions

What should a tree service text a missed caller?

Your business name, that you got the call, and one ask: reply with the address and a photo of the tree. Add a safety line telling anyone with a tree on a power line to stay away and call the power company or 911, plus your booking link for estimates and Reply STOP to opt out.

What should the text say after a storm?

That you are working through calls in order, and that anyone with a tree on the house, a car or blocking a driveway should reply with the address and a photo so you can call them first. Everyone else can book an estimate visit.

Who handles a tree on a power line?

The utility. Your text should tell the caller to stay well away and call the power company or 911; tree crews without line-clearance qualifications should not work near energised lines.

Ringback works on an Android phone your business line rings on, or with an iPhone plus a Mac (Mac helper, beta) or a spare Android: see missed-call text-back on iPhone.
