Virtual receptionist for small business: live vs AI, what it costs, and when a text is enough

Updated October 9, 2026

A virtual receptionist answers your business calls without sitting at a desk in your office. There are two kinds now: a live receptionist, a real person at an answering service company working from your script, and an AI receptionist, a voice bot. Both greet callers with your business name, take messages, transfer calls and, on most plans, book appointments. This page covers what they cost, how to choose, and when a small business can skip them and send a text instead.

Per-minute plans cost more when calls run long; per-call plans cost more when you get lots of short calls. Whatever the model, ask what your busiest month would have cost, and read the fee table for patching, holiday or add-on charges.

How to choose a virtual receptionist service

  1. Count your missed calls first. Your phone's call log for a normal week tells you how many calls you miss and when. A handful a day is a very different purchase from dozens.
  2. Decide what a caller must get. A person? A booking? Just a reply? That decides live vs AI vs text.
  3. Check the hand-off. How urgent calls reach you, and how messages arrive (text, email, app).
  4. Check your number. Ask whether the service works by forwarding your existing number, and what happens to the number if you leave.
  5. Test it. Several of the services above offer free trials; call your own line as a customer would, after hours too.
  6. Read the contract. Minimum terms, setup fees and how to cancel.

When a text is enough, and when it isn't

Missed-call text-back is the lightest option: nobody answers, but seconds after a missed call the caller gets a text from your own number saying you got the call, with a way to reply or book. It is usually a flat monthly price.

  • It is enough when most of your missed callers want to book, get a quote or know you got the call, and you (or someone) can reply within the hour.
  • It is not enough when callers need a person right now (emergencies, distressed callers), when you sell a promise of "a person always answers", or when nobody will read and answer the replies.

Plenty of small businesses use both: a receptionist or AI after hours, and text-back as the safety net for any call that still goes unanswered. For trade-specific versions, see HVAC answering service, electrician answering service and plumbing answering service cost.

Where Ringback fits

Ringback is missed-call text-back and online booking, not a virtual receptionist: it never answers or talks on a call. It runs on the Android phone your business line already rings on, so texts come from your own number with no forwarding, with separate business-hours and after-hours messages and one inbox for replies. It costs $17/month (or $170/year) with no setup fee. The 7-day free trial needs a card on file through PayPal; nothing is charged during the trial, then it is charged automatically unless you cancel before the trial ends. Compare it with Smith.ai and Ruby, or weigh all three options in answering service for small business.

Questions

What is a virtual receptionist?

A receptionist who answers your business calls without sitting in your office. It is either a live person at an answering service working from your script, or an AI voice bot. Both greet callers with your business name, take messages, transfer calls and often book appointments.

How much does a virtual receptionist cost?

From vendors' own pricing pages on October 9, 2026: live virtual receptionists run from about $44–$49 a month plus a per-minute rate on pay-as-you-go plans to 50-minute bundles from $99 (PATLive) to $250 (Ruby), with Davinci at $129 and Abby Connect at $165, or $300 for 30 calls on Smith.ai's per-call plan. AI receptionists list from $0 (Smith.ai, 25 calls) to $49–$79 a month (Rosie, Goodcall).

What is the difference between a virtual receptionist and an answering service?

Mostly branding. "Answering service" traditionally means taking messages and forwarding urgent calls; "virtual receptionist" usually adds transfers, booking and a more personal script. Many companies sell both under one price list, so compare what is included, not the name.

When is missed-call text-back enough instead of a receptionist?

When most missed callers want a booking, a quote or to know you got the call, and you can reply within the hour. It is not enough when callers need a person immediately (emergencies) or expect a live answer every time.

Ringback works on an Android phone your business line rings on, or with an iPhone plus a Mac (Mac helper, beta) or a spare Android: see missed-call text-back on iPhone.
