Plumbing answering service cost in 2026: live receptionists, AI and missed-call text-back
Updated October 9, 2026
A plumber misses calls for one simple reason: both hands are busy. The question is what to do about it and what it costs. There are three kinds of help, priced in very different ways: a live answering service (people answer your calls), an AI receptionist (a voice bot answers), and missed-call text-back (nobody answers, but the caller gets a text from your number within seconds). Prices below come from each company's own pricing page, checked on October 9, 2026; they change, so follow the links before you buy.
Live answering services: what they charge
Live services bill in one of two ways: by the minute of receptionist time, or by the call. Either way you buy a monthly bundle and pay overage above it.
| Service | How it bills | Published plans |
|---|---|---|
| Ruby | Per minute | $250/month for 50 minutes, $395 for 100, $720 for 200, $1,725 for 500; no setup fees |
| PATLive | Per minute | Pay as you go $49/month plus $2.99 a minute; $99 for 50 minutes ($2.29 per extra minute); $189 for 100 ($2.09); $349 for 200 ($1.99); 14-day free trial, no contracts |
| Abby Connect | Per minute (AI minutes count half) | $165/month for 50 minutes, $329 for 100, $599 for 200, $1,380 for 500; free trial, no setup fee |
| Smith.ai (human) | Per call | $300/month for 30 calls ($11.50 per extra call), $810 for 90, $2,100 for 300; add-ons such as booking cost extra per call |
A worked example
Take a shop that sends 40 calls a month to the service, averaging 3 minutes each (120 minutes). Using only the published prices above:
- PATLive: the 100-minute plan ($189) plus 20 extra minutes at $2.09 = about $231 a month.
- Smith.ai (human): the 30-call plan ($300) plus 10 extra calls at $11.50 = $415 a month.
- Ruby: 120 minutes is more than the 100-minute plan, so the 200-minute plan at $720 a month (or the $395 plan plus whatever Ruby charges for extra minutes, which its pricing page does not list).
Your numbers will differ. Long calls (a caller describing a leak in detail) cost more on per-minute plans; lots of short calls cost more on per-call plans. Ask any service what your busiest month would have cost, not your average one: a freeze or a storm can double your call count in a week.
AI receptionists
AI receptionists answer every call, ask your questions and book or take a message, for less than a live service. Published examples: Smith.ai's AI receptionist has a free tier of 25 calls a month ($3 a call after that) and a $150/month plan for 75 calls; Rosie starts at $49/month for 250 minutes. The trade-off is that some callers hang up on a bot. More detail in AI receptionists for plumbers.
Missed-call text-back: the cheaper first line
Not every missed call is a 2 a.m. emergency; some callers just want a time booked, a quote, or to know you got the call. For those, a text from your own number within seconds ("Sorry we missed you, we're on a job. Reply with what you need or book here") can be enough. Text-back is usually a flat monthly price with no minutes or calls to count.
It does not replace a person for true emergencies: nobody talks to the caller, so for burst pipes at night you still need someone on call who reads and answers the replies, or a live service after hours. Wording for leak, drain and water-heater callers, with a shut-off line for nights: missed-call text-back for plumbers. The same trade-off for other trades: HVAC, electricians, roofers and locksmiths.
Which mix fits your shop
- Owner-operator or small crew: text-back on every missed call, and your own phone for genuine after-hours emergencies. Cheapest by far.
- Shop with an office: text-back for overflow while the office line is busy, plus an on-call rotation for nights.
- Selling 24/7 emergency service: a live service or AI receptionist after hours, with text-back as the safety net for anything that still goes unanswered.
Questions to ask any answering service
- Is it billed per minute or per call, and what does overage cost?
- How do they handle an active leak or sewer backup at night, and who do they wake up?
- Can they book into the scheduling software you already use?
- Is there a contract, a setup fee or a minimum term?
Where Ringback fits
Ringback is missed-call text-back, not a live answering service: it never answers a call. It runs on the Android phone your business line already rings on, so every missed caller gets a text from your own number within seconds, with separate business-hours and after-hours messages, a booking link and an inbox for replies. It costs $17/month (or $170/year) with no setup fee, with a 7-day free trial, and it works alongside any of the services above. See what plumbers should text the callers they miss, or compare it with Smith.ai and Ruby. Other trades: electrician answering service and best answering service for HVAC.
Ringback works on an Android phone your business line rings on, or with an iPhone plus a Mac (Mac helper, beta) or a spare Android: see missed-call text-back on iPhone.
