Missed-call text-back for plumbers: what to text when you can't pick up

Updated October 10, 2026

Plumbing calls arrive when your hands are wet: under a kitchen sink, in a crawl space, halfway through a water-heater swap with the gas off. A caller with water across the floor does not leave a voicemail and wait, they ring the next plumber in the search results. A missed-call text-back sends them a text from your own number seconds after the call, so they know you heard them and can tell you how bad it is.

The calls a plumbing shop gets

  • Water where it shouldn't be: a burst pipe, a leaking supply line, water through a ceiling, a sewer backup into a basement drain. These callers need a callback in minutes, or at least to know when you will come.
  • No hot water: a failed water heater, a pilot that won't stay lit, a tank leaking from the bottom.
  • Drains and toilets: a slow kitchen drain, a toilet that won't stop running, a main line that needs a camera.
  • Planned work: fixture swaps, a new water heater, repiping, a remodel rough-in, quotes for a softener or a backflow test.

When plumbers miss calls

  • Lying under a sink or in a crawl space, where you can't reach the phone without getting out.
  • Mid-solder or mid-press on a fitting that can't be left half done.
  • With the water shut off at someone's house, when the job has to be finished before the family can use a tap again.
  • Early mornings and evenings, when homeowners find the leak before work or after dinner.

Example texts for plumbers

Daytime, on a job: "Hi, this is Smith Plumbing. We're on a job and missed your call. Is water leaking right now? Reply LEAK and we'll call you back first. For anything else, book a time here: [link]. Reply STOP to opt out."

After hours, if you run an on-call plumber: "Smith Plumbing here, we're closed. If water is leaking, close the main shut-off valve and reply with your address; our on-call plumber will ring you. Drains, fixtures and quotes: book here [link]."

After hours, no night service: "Smith Plumbing here. We're closed for the night and can't come out until morning. If water is leaking, close the main shut-off. Reply with your address and the problem and we'll call you at 7, or book the first slot: [link]."

After hours and emergencies

Decide before you write the night message whether you take emergency work. If you do, the text should promise a callback from a named on-call plumber and ask for the address. If you don't, say so plainly and give the shut-off advice, so the caller can stop the damage and call someone who does take night work. A text that hints at a callback nobody makes is worse than an honest "we're closed".

Sewer backups and leaks into electrical areas deserve a line of their own in your on-call notes: if water is near the panel or outlets, the caller should keep clear and contact the utility or 911 before anything else.

What to ask when they reply

  • Is the water off? Once the main is closed, a burst pipe becomes a morning job instead of a midnight one.
  • Where is it coming from: a ceiling, under a sink, around the toilet base, the water heater?
  • One drain or several? Several fixtures backing up points to the main line, which means the drum machine or camera, not a hand auger.
  • For water heaters: gas or electric, and a photo of the data label.
  • The address, to check your service area and drive time.

Booking and job software plumbers use

Plumbing shops that run on software usually use a field-service app such as ServiceTitan, Housecall Pro or Jobber for dispatch, estimates and invoices. Smaller shops often keep a paper diary or a shared calendar. Ringback doesn't connect to any of them; if yours has an online booking page, paste that link into Ringback so a drain or fixture caller can book straight into it. What those apps cost: ServiceTitan, Housecall Pro, Jobber.

Where Ringback fits

Ringback is missed-call text-back with a booking page, not an answering service or job software. It runs on the Android phone your business line rings on (or, with an iPhone, on a Mac with the Mac helper, beta), texts each missed caller from your own number (separate business-hours and after-hours messages, STOP/START handled) and puts replies in one inbox. $17/month or $170/year, no setup fee; the 7-day free trial takes a card through PayPal and is charged when it ends unless you cancel.

Questions

What should a plumber text a caller they missed?

Your shop name, that you are on a job, and one question that sorts the urgent calls: is water leaking right now? Leaking callers reply and get called back first; everyone else gets your booking link. End with Reply STOP to opt out.

Should the text tell people how to turn off their water?

A short pointer is reasonable for an active leak: find the main shut-off valve, often where the water line enters the house or near the meter, and close it. Keep it to that one line and leave diagnosis for the visit. If water is near electrical outlets or the panel, tell them to keep clear and call 911 or the utility.

Is text-back enough for a plumber who offers 24-hour emergency service?

Not on its own. If you sell night-time emergency work, someone has to be on call to read replies and ring back, or a live answering service has to take those calls. Text-back is the layer underneath, so a call that still goes unanswered gets a reply instead of voicemail.

Can I quote a water heater by text?

Often you can narrow it down: a photo of the data label gives the fuel type, capacity and age, and a photo of where it sits shows venting and access. Many plumbers still confirm the price on site, but those photos let you offer a visit time and bring the right unit.

Ringback works on an Android phone your business line rings on, or with an iPhone plus a Mac (Mac helper, beta) or a spare Android: see missed-call text-back on iPhone.
